This policy explains what personal information Phantom Apex Auto collects, why we collect it, how long we keep it and what your rights are. We have kept it as short and plain as we can.

Who we are

Phantom Apex Auto is a trading name of Phantom Apex Autos Limited, registered in England and Wales, company number 17183187. We are the “controller” of your personal information, which means we decide how it is used and we are responsible for looking after it.

What we collect

When you get in touch, through the forms on this website, by email or by phone, we collect what you give us: your name, email address, phone number, the service you are interested in, your message, and anything you choose to send, such as photos of the damage.

When we quote for or repair your vehicle, we may also collect:

  • your vehicle’s registration and details
  • photos of the damage
  • insurance and claim details, such as your insurer and claim reference, if the repair is going through insurance
  • driving licence details, if we lend you a courtesy car
  • payment details, meaning a record of what you paid, when and how

We do not need any information about your health or injuries to repair your vehicle, so please do not send it to us.

How we use it, and our legal reasons

Data protection law only allows us to use your information when we have a lawful reason. Ours are:

We do not send marketing emails or messages, and we never sell your information.

Who we share it with

  • Payment Assist, only if you choose to spread the cost of a repair with a payment plan. Payment Assist then becomes responsible for the information you give them, may carry out credit checks, and handles it under its own privacy policy
  • Companies that run our systems for us: Hostinger, which hosts this website, and Google, which provides our email. They can only use your information on our instructions
  • Where the law requires it, for example naming the driver of a courtesy car when the police or a council send us a traffic or parking penalty
  • Anyone else only if you ask us to, for example sending our repair estimate to your insurer

Where it is kept

This website is hosted in the United Kingdom. Our email is provided by Google, which may process it outside the UK. Where it does, it is protected by the safeguards UK data protection law requires.

Cookies

Cookies are small files a website can store on your device. This website does not use cookies to track you or to show you advertising.

The map at the foot of each page is provided by Google and only loads if you click to show it. Once it loads, Google may set its own cookies, under Google’s privacy policy.

If we ever add tools such as visitor statistics, we will ask your permission before they run and update this policy first.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct anything that is wrong
  • ask us to delete your information, unless the law requires us to keep it
  • ask us to limit how we use it, or object to how we use it
  • ask for information you gave us in a format you can take elsewhere

To use any of these rights, email info@phantomapexauto.com. There is no charge, and we will reply within one month.

Complaints

If you are unhappy with how we have handled your information, please tell us first and we will put it right if we can. You can also complain to the Information Commissioner’s Office, the UK data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this policy

If we change how we use your information, we will update this page and the date at the top.
